The attachment limits, provider by provider

Every email service caps how large an attachment can be. Crucially, the limit applies to the message after encoding, which inflates the file by roughly a third — so a 20 MB file can fail a "25 MB" limit. And both sender and recipient limits apply, so the smaller of the two wins.

Because company mail servers are often the strictest, a safe target that gets through almost anywhere is under 10 MB total for all attachments combined.

Why your files are so big in the first place

Two culprits account for almost every oversized email:

• Phone photos. A single photo from a recent phone is often 4–8 MB, because the camera captures far more detail than any screen or print needs. Attach three or four and you are already over the limit.
• Scanned or photographed documents. A multi-page scan, or a PDF built from phone photos of paper, can easily reach tens of megabytes — mostly because each page is stored as a high-resolution image.

The good news is that this extra size is almost entirely invisible detail. You can usually cut a file by 70–90% with no difference the recipient will notice.

The fastest way to get under the limit

For photos

1. Open the image tool and drop your photos in.
2. Set the quality to around 80% and a maximum width of 1600 px — plenty for viewing on any screen.
3. Compress. A typical 6 MB photo drops to well under 1 MB, so you can attach several and still stay under 10 MB.

For PDFs and documents

If your PDF is large because it is built from photographed pages, shrink the images first, then rebuild the PDF: run the photos through the image compressor, then combine them with the Images → PDF tool. If you are trying to send several separate PDFs, merging them into one with the merge tool does not reduce size, but it does turn several attachments into one, which some size limits count more kindly.

When the file simply cannot shrink enough

Some things — a long video, a large design file, a folder of raw photos — cannot be squeezed under 10 MB without ruining them. For those, do not fight the email limit; share a link instead. Gmail does this automatically via Google Drive for anything over 25 MB, and services like WeTransfer, Dropbox and OneDrive are built for it. The recipient clicks a link and downloads the file directly, with no attachment limit involved.

A quick checklist before you hit send

• Add up all attachments — the limit is for the whole message, not each file.
• Aim for under 10 MB total to clear even strict corporate servers.
• Compress photos to ~80% quality and 1600 px width before attaching.
• For anything genuinely large, send a share link rather than an attachment.

Hyvä uutinen on että tämä ylimääräinen koko on lähes kokonaan näkymätöntä yksityiskohtaa. Voit yleensä leikata tiedostosta 70–90 % ilman että vastaanottaja huomaa mitään eroa.

Valokuville

1. Avaa kuvatyökalu ja pudota kuvasi siihen.
2. Aseta laaduksi noin 80 % ja maksimileveydeksi 1600 px – riittää minkä tahansa näytön katseluun.
3. Pakkaa. Tyypillinen 6 Mt:n kuva putoaa reilusti alle 1 Mt:n, joten voit liittää useita ja pysyä silti alle 10 Mt:n.

PDF:ille ja asiakirjoille

Jos PDF:si on suuri koska se on koottu kuvatuista sivuista, pienennä kuvat ensin ja kokoa PDF sitten uudelleen: aja kuvat kuvanpakkaajan läpi ja yhdistä ne sitten Kuvat → PDF -työkalulla. Jos yrität lähettää useita erillisiä PDF:iä, niiden yhdistäminen yhdeksi yhdistämistyökalulla ei pienennä kokoa, mutta se muuttaa useat liitteet yhdeksi, minkä osa kokorajoista laskee lempeämmin.

Kun tiedosto ei yksinkertaisesti pienene tarpeeksi

Jotkin asiat – pitkä video, suuri suunnittelutiedosto, kansiollinen raakakuvia – eivät purista alle 10 Mt:n niitä pilaamatta. Niiden kohdalla älä taistele sähköpostirajaa vastaan; jaa sen sijaan linkki. Gmail tekee tämän automaattisesti Google Driven kautta yli 25 Mt:n tiedostoille, ja palvelut kuten WeTransfer, Dropbox ja OneDrive on rakennettu tähän.
